Proposal Development Guidelines

Resources to help you write a proposal

Please use the following resources to help you develop a complete, compelling, credible proposal.  Additional assistance with customization of resource data is available from the Office of Sponsored Programs.

Step 1.

Provide advance notification to the Office of Sponsored Programs (OSP) regarding your intent to submit a proposal by completing the Intent to Submit form found on the website at http://osp.stillman.edu.

Any faculty member who is interested in responding to a Notice of Funding Availability (NOFA) should immediately complete the Intent to Submit form on the OSP webpage and send one page project summary to their department chair, division dean, and OSP at least 30 days before the proposal is due.

The project summary must include the following information:

  • A statement regarding the ability of the proposed Principal Investigator and each member of the project team to successfully secure and complete the project;
  • An indication of whether the proposal requires institutional costs, such as cash or in-kind match (If so, identify the funding source.);
  • A description of how the project will benefit FAMU; and
  • The goals and objectives of the project (Link these to the NOFA.)
  • A description of the project’s planned collaborative effort, if any.

Step 2.

The Pre-Award Coordinator will assist you in developing your budgets, facilitating collaborations and determining timeframes for the completion of your proposal, subsequent approval and submission.

Step 3.

PIs ensure that you are registered as a PI with the agency to which you are applying.

Step 4.

Assemble your project planning team and begin meeting as soon as possible with the Pre-Award Coordinator to determine your proposal development needs.

Step 5.

Begin conducting your required research to support your proposal, writing your proposal, developing your budget, and identifying vendors and consultants, if necessary.

There is no standard format for proposals. The application should be developed in accordance with the requirements for format and content specified in the proposal guidelines. The narrative should be organized and checked against the evaluation criteria published in the guidelines.

Step 6.

Submit Submission Transmittal form, with all required signatures, accompanied by the full proposal to the OSP at least (14) business days prior to the agency’s deadline date.  Organize sections of the proposal according to the agency guidelines to facilitate smooth submission. An early review of the budget and other elements can prevent delays later and problems can be identified and corrected before the final proposal is ready.

PLEASE DO NOT SUBMIT PROPOSALS DIRECTLY TO THE FUNDING AGENCY. OSP IS RESPONSIBLE FOR DISTRIBUTION OF THE PROPOSAL TO THE FUNDING AGENCY. PROPOSALS ARE SUBMITTED ELECTRONICALLY USING AGENCY SUBMISSION PORTAL.
